96 questions about AI in business

Adoption, training, custom development, tools, security and compliance, AI search optimization and industry use. Short answers, written the way we would answer them on a call.

A

Adopting AI in a business

Start with a working group and one simple process where the effect shows up immediately. Do not try to automate everything at once.

Pick a repeatable process with a clear output — customer correspondence, report preparation, or handling routine requests.

No. Get one simple, fast result first, then take on the hard problems. Otherwise the team loses faith before the first win.

ChatGPT or Claude. Five minutes to sign up, first useful result the same day.

Almost any process that involves a person, documents, communication, or a repeated decision.

Repeatable tasks with a clear output: answering questions, processing inbound requests, drafting text, analyzing data.

Yes. Correspondence, consultations, routine questions, booking — AI closes all of it without a manager in the loop.

Yes. AI assistants help reps prepare for calls, analyze conversations, and keep the CRM current without manual entry.

A clear view of what customers ask, which objections repeat, and which scripts actually work.

Yes. AI transcribes and analyzes the conversation while it is happening, surfacing the information the rep needs.

Feed it into sales, marketing, and team training: find the patterns and improve the scripts.

Not always. Many solutions ship without code — if the task is framed properly and the right tool is chosen.

Start with training: give them simple tools and concrete tasks. The habit forms in one to two weeks of practice.

From a few days for simple solutions to a few months for custom systems.

Measure time per task before and after, error counts, request handling speed, and load on the team.

Not trying to get it perfect on the first pass. Ship a simple working solution and improve it steadily.

Show one concrete case with a measurable result. A pilot on a single process convinces better than any deck.

Yes. Most modern AI tools require configuration and training, not development.

Ordinary automation follows rigid rules. AI understands context, handles natural language, and adapts to situations nobody scripted.

Yes, always. A tool without a trained user delivers about 10% of what it can do.

B

Corporate AI training

Three formats: AI for Executives — $5,000 for a one-day workshop; Foundation — $8,500 for 7 modules and 11 hours; Advanced — $14,000 for 4 modules and 9 hours with 1–3 key employees. All prices are per group.

The Foundation track is 7 online modules: from AI fundamentals to prompt engineering, data analysis, marketing, and visual content. The practice runs on your own business material.

Six hours for the executive workshop, about 11 hours across 7 modules for Foundation, 9 hours across 4 modules for Advanced. The pace follows your team.

Leaders, marketers, analysts, managers — anyone who works with text, data, or communication.

Primarily online, which lets us work with distributed teams. On-site sessions are available in South Florida.

Every module's practice is built on the client's real material: their spreadsheets, their copy, their products, their tasks.

Apply AI in daily work: write copy, analyze data, produce content, automate correspondence.

Yes. One month of asynchronous chat support is included. We answer questions and help with specific tasks.

Yes. There is no minimum group size. We train from one person up.

Yes. Each module ends with a practical assignment on a real task from the participant's own work.

C

Development and automation

It depends on the task. Implementation starts at $12,000; a complex agent with several integrations is scoped individually. The two-week AI Opportunity Audit is $4,500.

From three weeks for simple solutions to three to six months for complex systems.

A description of the task and a clear idea of the desired result. We work out the rest in the first session.

Diagnostics → scope of work → development → testing → rollout → support.

Yes. We work with HubSpot, Salesforce, Zoho, Pipedrive, Monday and any other system that has an API.

n8n is a no-code automation platform. It connects AI to any service you already use: messaging, CRM, spreadsheets, email.

An off-the-shelf tool works by someone else's rules. A custom build works around your specifics, your data, your team.

Yes. Technical support and ongoing development run under a separate agreement, from $1,500 per month.

Yes. Classification, data extraction, template filling, and checking are all automatable with AI.

RAG — Retrieval-Augmented Generation — lets AI answer questions from your own internal documents and data instead of general knowledge.

D

Tools and technologies

Both are strong language models. Claude handles long documents and careful writing especially well; ChatGPT covers a very wide range of tasks and has a large tool ecosystem. Most teams end up using both.

Perplexity is an AI search engine that answers with citations to its sources. It is hard to beat for research and current information.

Google's model, tightly connected to Google Workspace — useful when your documents, mail and spreadsheets already live there.

It depends on the task. For writing and analysis — ChatGPT or Claude. For research — Perplexity. For process automation — n8n with AI agents.

For basic tasks the free tier is enough. For serious work, yes — the paid plans give access to the strongest models and higher limits.

Configured versions of a model with your instructions, your knowledge base, and your settings. They behave like a specialist for one specific job.

A program that carries out multi-step tasks on its own: it looks up information, makes decisions, and calls tools — without a person in the loop.

ChatGPT, Claude, Gemini and Perplexity all have free tiers. For most first steps that is enough.

E

Security and data

It depends on the tool and the architecture. We design solutions so that confidential data never leaves your perimeter.

Yes. The NDA is signed before any work begins. Every AI4Live project is covered by one.

It depends on the project. We can deploy on your own infrastructure or in a cloud environment with the level of protection you require.

Yes, with the right architecture. We work to the constraints your industry imposes — data residency, access control, audit trails, retention — and document what the system does with each data type.

Do not put trade secrets into public consumer services. For sensitive data, use local or private deployments — that is what we build for it.

No. We do not train models on client data and we never share one client's data with another.

Wherever you decide. We deploy on your infrastructure or in a cloud account you own, in the region you require. For data that cannot leave the building we run a fully local setup: self-hosted models, no external API calls.

Yes, both on request. We list every third-party service a given system touches, what data reaches it and why, before the project starts.

We do not hold certifications we have not been audited for, and we will not claim otherwise. What we do is build to the controls your policy requires — data residency, retention, least-privilege access, audit logging — and document it, so your compliance team can review the actual implementation. For PHI or similarly regulated data we default to a self-hosted deployment inside your environment.

Only the people on your project, on named accounts, with the narrowest access that does the job. Credentials are rotated or handed back at handover, and every system we build ships with role-based access and an audit trail.

Source code, prompts and configuration are handed to you with documentation. Working copies of your data on our side are deleted on request, and access is revoked at handover. Nothing is locked to us.

No. We do not train on client data and we never expose one client’s data to another. Where third-party models are involved we use the enterprise endpoints that exclude your inputs from training.

H

AI search optimization

SEO is about positions in Google, where the user gets a list of links. AEO — Answer Engine Optimization — is about the AI naming your company inside the answer itself. Users increasingly never click a link at all: they ask ChatGPT and act on the answer. If you are not there, you do not exist.

Ask ChatGPT, Claude, Perplexity and Gemini about your company and about your service in your city. If they don't name you, or name you inaccurately, there is work to do. That is the first thing we run in the audit.

A file in the root of your site that AI crawlers read to understand who you are and what you do. Think robots.txt, but for language models.

AI crawlers index sites at different speeds. Changes usually start showing up in answers within 4–8 weeks.

No — and anyone who guarantees it should not be trusted. The algorithms are opaque and they change. We do everything technically possible to put you in front of AI answer engines. Without this work there is no chance at all.

The base optimization is one-time. After that it needs upkeep when the site changes or you add services. We hand over a playbook so your team can do it, or we run the upkeep ourselves.

Yes. A landing page or a large corporate portal — the approach is the same. Only the volume of work and the price differ.

From $3,500 for the one-time project, from $1,500 per month for ongoing upkeep.

Yes. Send us your company name and website through the free AI visibility check and we email you the result within three business days: what ChatGPT, Claude, Perplexity and Gemini currently answer about you, whether they name you at all, and the first three things to fix. No call and no charge.

Getting started on your own

Sign up for ChatGPT or Claude. Describe any real work task in plain words and see what comes back.

Write copy, an email, a post, a résumé, a plan. Get up to speed on a topic, translate a document, analyze data. AI handles most work that means "think and then write."

Yes. The free tier has usage limits but needs no payment card.

Claude works in the browser at claude.ai and in the official mobile app. Sign up with an email address.

A prompt is your request to the model. The more specific you are about the task, the context, and the result you want, the better the answer.

It explains hard topics in plain language, builds a study plan, reviews your writing, and answers questions on any subject.

Yes. Copywriting, design, development and analysis all got faster and more accessible with AI tools. The skill that pays is framing the task well.

Start with one: ChatGPT or Claude. Use it for two or three tasks until it's second nature. Add the rest only when you have a concrete need.
